Who we are

DaVinci Media Arts is a film and photography team based in Luton, Bedfordshire, and a trading name of Davinci Group Services Limited (company number 17242131, registered office 2 Warden Hill Gardens, Luton, England, LU2 7AH). We decide how the details you send us are used, so we're responsible for them. You can reach us at davincimediaarts@gmail.com or on 07423 105140.

What we collect

When you send a booking request or an enquiry through this website, we collect what you type into the form:

• your name, email address and phone number
• details of your event or project: package, date, start time, venue or location, approximate guest numbers, budget and any add-ons
• your message, and how you heard about us if you tell us
• the date and time you sent it, and that you agreed to us storing your details

We don't ask for payment details on the website, and we don't use advertising or analytics trackers.

Why we use it

We use your details to reply to you, check our availability, give you a quote and, if you go ahead, plan and deliver your booking. Our legal basis is that you've asked us to take these steps before entering into a contract with us, and, once you book, that we need them to carry out that contract.

We won't send you marketing or pass your details to anyone to sell to you.

Photos and films of you

If you book us, the photos and films we take of you and your guests are personal data too. We keep them to edit and deliver your work, and hold a backup for 12 months after delivery. We may use selected images and clips on our website, social media and marketing, because we have a legitimate interest in showing our work. If you'd rather we didn't, tell us before your event, or ask us at any time to take something down, and we will.

Where it's kept and who sees it

Your request is saved in a Google Sheet in our Google account, and we get a copy by email in Gmail. Only our team can see it. Google stores this data for us as our service provider, and may hold it on servers outside the UK under its own data protection safeguards.

We use Google Apps Script to receive the forms. This website is hosted by Netlify. Its text uses Google Fonts, and the photos and videos in our portfolio are shown from Google Drive, so your browser connects to Google to load them. Google may record your IP address when it does.

What stays in your browser

After you send a request, this website saves your reference number, your email address and the time you sent it in your own browser for 24 hours. That's how it reminds you that you've already sent one. It isn't sent anywhere, and you can remove it by clearing your browser's site data.

How long we keep it

We keep booking requests and enquiries for up to 2 years after your event or enquiry, then delete them. If you book with us, we keep the records we need for our accounts for as long as the law requires.

Your rights

You can ask us for a copy of the details we hold about you, ask us to correct them, or ask us to delete them. You can also object to how we use them. Email davincimediaarts@gmail.com and we'll reply within one month.

If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
